TrackRecord LLC ("Track Record," "we," "us," or "our") operates the Track Record mobile application and website (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

1. Information We Collect
Account information. When you create an account, we collect your name and email address through our authentication provider, Clerk.
Content you provide. This includes video and photo recordings you upload, written comments, session notes, and results/marks you log.
Athlete information. Coaches may add athletes to their roster by providing a name and email address. No additional information is required for coach-added athlete profiles.
Information collected when an athlete joins directly. When an athlete accepts a team invite or join link themselves (rather than being added solely by a coach), we ask for their date of birth. This is used only to determine whether additional parental consent steps are required, as described in Section 3 below.
Usage and technical data. We collect standard technical information such as device type, app version, and general usage activity to maintain and improve the Service.
Billing information. Subscriptions are processed through Apple's In-App Purchase system and managed via RevenueCat. We do not collect or store your payment card details — Apple handles all payment processing directly.
2. How We Use Information
We use the information we collect to:
- Provide and operate the Service, including video storage, playback, and commenting features
- Authenticate users and manage accounts
- Process subscriptions, free trials, and billing through Apple's platform
- Communicate with you about your account, including transactional messages (e.g., trial ending, payment issues) and, if you opt in, product updates
- Determine whether parental consent is required for an athlete under 13, and manage that consent process
- Maintain the security and integrity of the Service
We do not sell personal data to third parties.
3. Children's Privacy
Track Record is designed for use by coaches and their athletes, some of whom may be minors. We take the following steps to comply with the Children's Online Privacy Protection Act (COPPA):
Coach-added athletes. When a coach adds an athlete to a roster using only a name and email, no date of birth is collected at that time.
Athletes who join directly. When an athlete accepts an invite or team join link themselves, we ask for their date of birth before their profile is fully activated.
Athletes under 13. If the date of birth provided indicates the athlete is under 13, their account is placed in a pending status. We require a parent or guardian email address, and we send that parent or guardian a one-time consent link. Until a parent or guardian grants consent:
- The athlete can view video content shared with them
- The athlete cannot post comments or use other interactive features
Once a parent or guardian grants consent via the link, interactive features are unlocked. Consent links are single-use and are invalidated once consent is granted.
Athletes 13 and older. No parental consent step is required, and full athlete access is available upon joining.
Retention of children's information. Date of birth and parent/guardian email for athletes under 13 are retained for as long as the athlete's roster record exists, including if that record is later deactivated. This information is removed when the associated team or account is deleted. The consent token itself is cleared once consent is granted.
Parental rights. A parent or guardian may contact us at support@trackrecordhq.com to review, correct, or request deletion of their child's information, or to revoke consent, at any time.
4. Third-Party Service Providers
We work with the following third-party providers to operate the Service. Each may process limited information on our behalf, solely to provide their respective function:
- Clerk — authentication and account management
- Cloudflare R2 — video and photo storage
- RevenueCat and Apple — subscription billing and payment processing
- SendGrid (or successor provider) — transactional email delivery, including parental consent emails
We do not permit these providers to use your information for their own independent purposes.
5. Data Retention
We retain account and content information for as long as your account is active. If you delete your account, associated data is removed, with the exception of information we are required to retain for legal, billing, or security purposes for a limited additional period.
Retention of children's information under 13 is described specifically in Section 3.
6. Data Security
We use reasonable administrative and technical safeguards to protect information stored on the Service, including encrypted storage and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your Rights
You may request access to, correction of, or deletion of your personal information by contacting us at support@trackrecordhq.com. Account deletion is also available directly within the app under Settings.
8. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify users through the app or by email. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
